    3. Club Update
      • Racing
        • Regional Race: Discussion surrounding race day income and how this has been affected by the decrease in participation in the region. Agreed to take concerns to region AGM, with action points such as BC regional coaching targeting primary schools surrounding tracks
        • Wild West winter series: Race day was a real success, income was higher than anticipated. Gate failed again, renewal is top of the development priority list 
        • Proposal of summer race series with Tiverton – ‘Racing up the link road’ with Go-Ride branding. Tiverton Chair is keen
      • Development 
        • Track: Funding from Coastal Recycling has been confirmed for Gate / Hill / 1st Straight project, this is fantastic news. Awaiting feedback from Sport England, will update as and when we have some news
        • Timing Systems: Funding application as been submitted to Fullabrook and DCC. Awaiting outcomes and will update accordingly 
        • Membership: See above, re: BC & Schools programme. Speaking to Sam Leggett today East-The-Water & Instow are confirmed for spring 2019. 
      • Volunteering
        • New Roles:
          • Ski Martin: Membership, an important new role for the club, we will be forming a job spec shortly and the core committee will support Ski were required.
          • Simon Harmer: Facilities, heading up all maintenance to the site and organising when and where to use our volunteering resources to keep on top of all facility maintenance. We will be creating an equipment inventory and servicing schedules – Budget’s to be discussed.
        • Riders Rep (Youth / Adult) New riders reps elected to 2019, as above. Points of contact for anything rider or race related. The reps will feedback to the committee if an when required.
      • Coaching
        • Agreed to have a separate meeting to discuss our coaching offer and look to recruit additional coaches – there’s a couple of senior riders who are keen to get qualified
    4. Direct debit – Go Cardless. All agreed to implement this
    5. Track Fees 2019: As follows
      • Under 18 membership £15:00
      • Adult single membership £30:00
      • Family membership (up to a max of 4) £50:00
      • Free membership for residents from East of Water, with proof of address
    6. Yearly gates fees
      • Single: one off payment to cover all open gate sessions from Jan to Dec £50.00
      • Family: one off payment to cover all open gate sessions from Jan to Dec £100.00
    7. Card reader: All agreed to purchase the 3g Sumup card reader
    8. Update following meeting with Pollyfields Community centre trustee’s. Good meeting, agreed a way ahead for the parking and how we can partnership work for the good of both parties.
    9. All agreed regarding submitting for SW Champs again. It was universally agreed that our last championship offer was better than previous offers. Will look to form an offer to present to region when required.
    10. AOB – Simon Harmer suggested looking to get funding for additional hire bikes. This is a great idea given we’re actively increasing membership and partnership working with BC to target local schools. Will look at available funds.

    Regional debrief

    Generally everyone thought the regional went really well (weather aside). It was noted there was really good team work, i.e. in the kitchens during times of high demand and when the track flooded during the heavy rain. It was not required to ask people to step up, volunteers recognised there was a problem. As a committee this is particularly satisfying and demonstrates our togetherness as a club.

    Pretty much universal good feedback from the riders regarding the track upgrades, it’s nice to hear and helps to underpin the development plans we have in place for future changes.

    Areas of opportunity included

    • The gate system; it’s doesn’t reflect well on the club that we had issues with the gate during the race. The heavy rain made the ‘loading in’ area very slippery and riders were complaining about a lack of traction when starting. There was also the issue in the finals where there was a pressure issue and the gate was not holding the weight of the riders.
    • Pens location. It was discussed that the pens are quite tight and congested. We agreed to look at other locations and an introduction of a possible holding area as per national racing to help ease the issue.
    • Pricing for food; general thinking was it was too cheap. Something to consider for next year.

    2019 Development Plans

    Discussed our plans for 2019. There was a universal support for the proposal to renew the whole gate system, renew the hill, which will result in the first straight being renewed.

    • Gate: There was a lengthy discussion around our gate and the regional, its lack of reliability and how riders feel it’s not quick enough and hinders their riding progression. We discussed the different options for renewal, looking at a Bensink pneumatic system and the ProStart Elec system. There are clear benefits to the elec system;
      • Removal of reliance on air and the issues we currently have with our current gate
      • The quietness of the ProStart system and the benefits this will have for our neighbours
      • The Prostart system is gain traction with other national tracks and this will help with rider progression
      • Reliance of riders adapting riding style to overcome issues with the gate, the Progate System will allow riders to feel more comfortable on quicker national gate systems
      • Progate system costs are comparable with others, but the quoted price is supply and fit, whereas others were just supply and we’d need to get additional contractors in to fit.
      • Auto cycle function, so club is not so reliant on volunteers to help to run gate sessions.
    • Start Hill: Discussions surrounding current start hill; general consensus was our current hill is not steep enough and too drawn out. There was discussions around it disadvantaging our riders when they travel to tracks with steeper hills and this is especially evident at national or international events. All agreed having a 5m UCI hill would be a fantastic addition to the facility and help with coaching opportunities. We looked at the site survey TDC provided and forming the hill would be fairly simple and require little if any building up. Material would need to be remove that could then be reused to rebuild the 1st straight.
    • First Straight: as with the start hill our current first straight is not challenging enough and disadvantages our riders when they travel to other tracks. The proposal would be to create 3 new jumps to challenge riders that conform to UCI regs.This would provide more and better opportunities for coaching. The Start hill and first straight plans are linked and both need to happen if we’re successful with planning and funding

    Finances

    • Finances are stretched at present. Last years remodelling of the 2&3 straights and the tarmacing of the first berm as drained any reserves the club had and this hasn’t been helped by the electrics being condemned and the subsequent rewire. Regional income is also down, this is due to a number of factors:
      • Lower rider numbers across the board for all SW races.
      • Knock on effect lower numbers has on opportunities for clubs to raise revenue via food etc on race day
      • Race day revenue form region has decreased – introduction of British Cycling levies etc
      • Increased costs for parking field, food & drink purchasing
    • Discussions surrounding the split between what the region take on race revenue and what the club receives. General consensus was it seemed unfair that the region receive more race revenue than clubs – Will take this back to region.

    Kitchen

    • General feeling this was working well. Rota is good and there seems to be a structure in place for when people can’t make their allocated slot. Will have to replace Nikki as it seems they are finishing BMX – RF go out to Facebook for another volunteer.
    • Discussion surrounding extending the current kitchen and having a serving hatch at the front to allow easy serving. This was universally agreed and we’ll look to program in some changes when finances / funding allow.
    • All agreed to make a push to make the kitchen as successful as it can be, it’s a good source of income for the club
    • Riders signing in – agreed to push ‘sign in’ again – It’s a requirement of our insurances! All agreed following discussion to introduce a ink stamp, all riders will be checked throughout the open sessions to ensure rider sign in is occuring. RF to order ink stamp

    Winter Racing: Wild West winter series

    • RF – briefed committed and members on the idea of the Wild West series. Bideford will be one of 4 other clubs to have a around in the first year of the series

     

    • Universal approval for the idea of the winter series and in keeping racing going over the winter months.

    Membership Secretary

    • Committee and club are committed to increasing members or just numbers of people using the facility.
    • Discussion surrounding BC’s roles and responsibilities in getting involved in this, apparently regional development role is changing and we will await the outcome of interviews before we start to engage.
    • Ski Martin floated the idea of hiring / purchasing a modular pump track to take to schools / fete’s / summer fares etc to help showcase BMX racing. Ski to contact manufacturer and Sam White to contact C&C workshops to find out rough costs. Will approach region / BC to discuss options for funding / partnership working on this idea
    • Re-promote grass roots sessions that were a success early in the year / Simon Harmer offered to help with some coaching which would be great
    • Discussions surrounding coaching – will push for volunteers on social media and those who’d like to get involved in helping with pushing members. Simon Harmer has kindly offered to get involved in coaching, will determine how shortly

    First Aid

    • Many of first aiders need to renew. Gemma Penny is working Ian Wheeler to bottom when and where we could run a day course. RF to find out numbers on social media and Gemma to update on dates and costs.
    • Agreed to take off cost of first aid from next years membership cost to help with uptake.
  • Grass roots

    After it’s roaring success we’ve decided to continue our ‘Grass Roots’ sessions on Saturdays between 1 & 2 pm. This will be supported from May with a coaching program designed to accelerate progression into BMX Racing and with the regional racing series starting to kick off they’ll be plenty of opportunities for you to get stuck in

    The rules that govern BMX are quite extensive and if you take a look in the British Cycling regulations document  you’ll soon discover it’s a mine field of information. Luckily someone has created this handy summary of rules and regulations so you don’t need to have a PHD to find out the main parts that apply to you.

    Club Update

    • Track: We’re really pleased with the progress that has been made with the track, first berm is now tarmaced and the 2nd / 3rd straights have been remodelled. Feedback from riders has universally positive – which is great!! There is still some work to be done – all aesthetics, such as turfing sides of jumps, clean stoning soakaways and line painting, hardstanding for car parking, general tidy. There will be a couple of track maintenance days to get these jobs sorted – keep an eye on social media for updates, please make time to volunteer – we all have better things to do, but many hands make light work!!!
    • Clubhouse: I’m sure you’ll agree our clubhouse is looking awesome, the cladding and new roof/veranda looking wicked! We need to have a tidy up inside – this will be scheduled for the track maintenance days
    • Bank: We’ve been working closely with TDC to agree on a way ahead of the bank to the west of the track. Nothing has been finalised, but there is going to be some remedial works to shore it up – More to follow on this
    • Planning permission: We are going to submit an application for a 5m start hill, new first straight and for our temporary lighting scheme to become permanent – this will be submitted shortly. Once planning is sorted we’ll then start to find funding for the works to the hill and first straight.
    • Elecs: All club elecs are currently being upgraded, rationalised and improved so we’re in a much better place moving forward. Works should be completed shortly – Big thanks to Pete for his time and efforts!!

    Regional Update

    • Region have introduced some regulations that will affect our race day. We will need to find volunteers for all race day personnel, otherwise we’ll be fined £50 per non filled post. Clearly, we need to get this sorted. Club will post a list of jobs shortly on Facebook so have a look and decide what you can do. It was decided that if you have a child racing for Bideford BMX you will need to supply at least 1 volunteer per rider. If we end up being short we will look to form partnerships with other clubs so that we can ‘trade’ volunteers to overcome any shortages.

    Accounting / Finance

    • Club is going to introduce an online accounting system to make our bookkeeping more efficient – RF to look into solutions
    • Request Debit card from Natwest / paypal account to be set up
    • Paypal card reader for clubhouse

    Coaching

    • Club is introducing monthly coaching with Barrie Green; this will be split into novice and expert coaching. Run on a weekend, before the open session. Price & dates to follow

    Club Volunteers / Opening

    • It was decided the club will need the following to open for a standard open session;
      • 3 people (1 for the clubhouse, 1 gate operation, 1 floating role) without these in place the club will not open. We will be creating a rota for the roles and if you volunteer you’ll be responsible for being available for your rota’d slot – if you’re not available you’ll need to find someone else to do it.
      • Club will also be running a first aid training day shortly – fee’s will be payable, however we will deduct those fees from your membership in 2019.
      • Club is introducing a £1 fine for not signing in, you’ll need to be signed 30 mins after the session has started, otherwise you’ll be fined £1 per rider.

    Club Jersey

    • Bideford will have a  jersey available for the 2018 season, it would be really cool if we could have all riders in a club Jersey for this season. Sample will be available soon – Ski Martin is on the case. Cost will be £30 – made by Kalos, who make the GB shirts

    HSBC UK BMX National Series Entry Criteria

    Attention all riders wishing to ride in the National Series this season.

    Britsh Cycling have changed the criteria for those wishing to ride in the HSBC UK BMX National Series this year.

    To gain access to a National Series event, a rider is required to compete in a minimum of five summer regional events at an expert level. It is the responsibility of the rider or parent to ensure that this regulation is adhered to and any rider found to have not met the criteria will not be permitted to start.

    If your child rode at novice level in the South West Summer Series last year and you would like them to ride in Nationals this season, they will need to compete in 5 rounds of this seasons SW Summer Series before they can compete at National level.

    If they rode the first five rounds of the SW Summer Series at expert level they would become eligible to ride Nationally in Rounds 5/6 at Cyclopark, Kent on the weekend of 26/27 May.

    RSR & CCT Sessions

    Below is the new criteria written by Dylan Clayton regarding all RSR and CCT sessions. The sessions are invite only, but club coaches are welcome to recommend any rider to either to myself or the CCT coaches if they think that a rider is missing out and should be involved.  Also, please find below dates for RSR sessions which will be 5 hour sessions with our CCT coaches and Dylan Clayton. The number of riders selected for the RSR’s will be less than the CCT’s. Riders will be selected based upon their stats and their behaviour/conduct during all CCT’s and the session with Dylan.

    CCT Criteria
    • Riders have transferred past moto stage at regional level.(RIDER’S RACING AGE GROUPS, this will be taken into consideration )
    • Riders are competing at national level events.
    • Riders are attending club coaching sessions.
    • Riders show a willingness to progress.
    • Riders have a suitable level of enthusiasm and self-motivation.
    • Riders can change their own pedals.
    • Riders can bring correct kit bag and equipment needed for the session.

    Riders can perform the following techniques and measurements.
    • 50m sprint under 8 seconds.
    • Manual at least 2 metres.
    • Wheelie at least 2 meters.
    • Bunny hop height at least 10 inches.

    RSR Criteria.
    • Riders are transferring to A finals at regional level.
    (RIDER’S RACING UP AGE GROUPS; this will be taken into consideration)

    • Riders are transferring to semi-finals at national series events.
    • Riders are demonstrating good warm-up / cool down at all times.
    • Riders are attending club coaching sessions.
    • Riders show a willingness to progress.
    • Riders have a suitable level of enthusiasm and self-motivation.
    • Riders can change their own pedals.
    • Riders can bring correct kit bag and equipment needed for the session.

    Riders can perform the following techniques and measurements.
    • 50m sprint under 7.30 seconds.
    • Manual at least 6 metres.
    • Wheelie at least 6 meters.
    • Bunny hop height at least 10 inches.
    • Bunny-hop distance at least 1 meter.
